222nd Annual General Meeting Saturday, 26th September, 2026, at 2.00 p.m.

N O T I C E
1. As per the Resolution No. 15 passed in the 205th AGM (21st August, 2009), the Annual Report of the Society for the year 2025-2026 (containing the Audited Statement of Accounts) and the minutes of the previous AGM of 2025 (221st AGM held on 27th September, 2025) were already circulated to the Members by e-mail.  
 Note:  The Audited Statement of Accounts are for the previous year 2025-2026.  The present Office Bearers and Managing Committee Members have taken charge w.e.f. 7th July 2026.
2.The printed copy of the minutes of the previous AGM (221st AGM held on 27th September 2025; the Annual Report (2025-2026) and the Resolutions from Managing Committee as well as Members, if any, will also be available at the venue of the AGM. 
3. Members are requested to intimate to the office in writing, within 30 days after the AGM, their desire to have a hard copy of the draft minutes of the 222nd AGM, 2026.
4. According to Rule No.4 of the Rules and Regulations of the Society, the following categories of Members of the Society are entitled to attend the Society’s AGM and vote – Resident, Resident Life, Non-Resident, Non-Resident Life, Patron Life Member, Donor Life Member & the Head of the Member Institute (in case of Institutional Memb
5.Every member should bring his/her ORIGINAL I-CARD along with him/her at the time of the AGM  (NO PHOTOCOPY / DIGITAL COPY / SOFT COPY WILL BE ACCEPTED).  No member will be allowed in the meeting room wi

Please note:
Rule 13(b):     A member who, on the day of any General Body Meeting of the Society, is in arrears of subscription, or is liable to pay any dues to the Society, shall not be entitled to participate in any way at such a meeting.
Rule 5(c)(i): A person shall cease to be a member of the Society if he/she has failed to pay his/her annual subscription for one year.
 
Time of Voting - On the day of election, i.e. Saturday, 26th September, 2026, the ballot boxes will be kept open   from 2.30 p.m. to 5.30 p.m. or till all the members present have cast their votes, whichever is later.

 Item No.7:   To appoint the Statutory Auditor for one year 2026-27
The following resolution passed unanimously by the Managing Committee at its meeting held on 8th September, 2026, is recommended to the General Body for approval:
 
“Resolved that M/s. Bhogilal C. Shah & Co, Chartered Accountant, is hereby appointed Auditor of the Asiatic Society of Mumbai (ASM) for one year (2026-27) from the conclusion of this Annual General Meeting until the conclusion of the Annual General Meeting of 2027 of the ASM on such honorarium as may be fixed by the Managing Committee.”

Returning Officer’s Report on Withdrawals

Dear Sir,

Re:  Report on withdrawals received in the matter of ASM Elections 2026 to:

        1)   Scrutinizing Committee for one year (2026-2027) - 7 posts

        2)   Managing Committee Member (2026-2029) - 5 posts

1) The last date for the withdrawal of Nomination papers by the candidates who wish to withdraw from the elections was fixed at 3.00 p.m. on Thursday, 17^th September, 2026.

2) No withdrawals were received from any member till 3.00 p.m. today.

3)  Therefore, the final position of the candidates in each category is as follows:

3A        SCRUTINIZING COMMITTEE (2026-2027) - 7 POSTS : 

At the time of scrutiny on 16^th September 2026, 07 candidates had filed their Nomination forms to the 07 posts of Scrutinizing Committee for the year 2026-2027 which were found to be in Order and Valid.  The names of the candidate are furnished below:

There will be NO ELECTION to the post of Scrutinizing Committee for period 2026-2027. 

3B        MANAGING COMMITTEE (2026-2029) - 5 Posts:

          At the time of scrutiny of Nomination forms on 16^th September 2026, there were 10 candidates contesting the election to the 5 posts of Managing Committee. No withdrawal has been received from any of the candidates. Thus, the final list of candidates contesting the election to the 5 posts of Managing Committee is as follows:

As number of Nominations Forms filed are more than the vacant posts, election for the post of Managing Committee will be held on the day of 222^nd AGM scheduled on Saturday, 26^th September 2026.   Thus, all the above 10 candidates will be contesting election for the Member of Managing Committee for 05 posts for the period 2026-2029.

4)  This notification may be placed on the Society’s Notice Board and shall form a part of the Report of the Returning Officer.   
5) Final declaration of results for all posts will be done after counting of votes polled by each candidate on the day of Election on 26^th September 2026.
